Corporate bookings fail for different reasons than consumer ones. The vehicle is rarely the problem. The paperwork, the approval chain and the single point of accountability are.
A written scope, before anyone approves anything
Whoever signs off on this internally is not the person who called us. They need a document: vehicle, capacity, date, pickup points, timings, hours included and what happens outside them.
We quote in writing and itemize it. If something is not on the document, ask us to put it there rather than assume it is covered.
Invoicing that fits how your company pays
Corporate clients are invoiced. Tell us at the quote stage if you need a purchase order number on the invoice, specific payment terms, or a W-9 on file, and we will handle it before the event rather than chasing it afterwards.
The failure mode here is an event that goes perfectly and then sits unpaid for two months because the invoice was missing a PO reference.
A certificate of insurance, often naming someone else
Venues, campuses and conference centers frequently require a certificate of insurance from any vendor operating on site, sometimes naming them as additional insured.
That request takes time to process. Asking on the Monday of an event that runs Thursday is tight. Asking at the quote stage is easy.
One named contact on both sides
Give us one person who owns the transport on your side, and we will give you one on ours. Not a general inbox, and not three people copied on an email chain.
On the day, the driver calls one number. That single arrangement prevents most of what goes wrong at corporate events.

Conference shuttles are a different product
A shuttle running loops between a hotel and a venue across a day is not priced or planned like a single charter. What matters is the loop interval, the peak windows either side of the programme, and what happens when a session overruns.
If that is what you need, say so early — the planning conversation is genuinely different and the quote has different line items in it.
Unmarked coaches, which corporate clients notice
Plain white exteriors, tinted glass, no livery. For corporate work this is the detail that comes up most.
A branded party bus pulling up to a client dinner, an office forecourt or a conference hotel sends a message the organizer did not intend to send. An unmarked coach does not. The interiors are still the interiors — it is the outside that is deliberately quiet.
We run 20, 25 and 30 passenger coaches; detail is on the fleet page. For groups above thirty the question becomes multiple vehicles, and the coordination of that — staggered arrivals, a lead vehicle, one contact across all of them — is worth planning rather than improvising.
If any attendee needs step-free access, raise it at the quote stage. It affects vehicle assignment and it is not a conversation that goes well on the morning of an offsite.
Questions we get on corporate & team events
Do you invoice, or is payment upfront?
We invoice corporate bookings. Tell us your billing entity, whether a purchase order number is required on the invoice and what your payment terms are at the quote stage, and we will set it up before the event rather than chasing it afterwards.
Can you provide a certificate of insurance?
Yes. If the venue or campus requires one, or needs to be named as additional insured, send us the requirement when you request the quote. It takes time to process, so earlier is genuinely better than the week of.
Do you provide a W-9?
Yes, on request as part of vendor setup. Ask at the quote stage and it goes across with the written scope rather than becoming a separate task for someone in accounts payable.
Can you handle a multi-day conference shuttle?
Yes, and it is planned differently from a single charter. What we need is the loop interval you want, the peak windows either side of the programme, the venues and the expected passenger volume. The quote is structured by day rather than by trip.
Will the vehicle have party branding on it?
No. The exteriors are unmarked white coaches with tinted glass, which is why they work for client hosting and campus pickups as well as for evening events.
What if the agenda runs over?
Tell the driver as early as you can. Extending depends on what is committed behind your booking. For offsites with any chance of overrun, building the extra hour into the original scope is cheaper than negotiating it on the day.

Give us the date, the headcount you have actually confirmed and roughly what the day looks like, and you will get a written quote with the vehicle named on it. If the plan needs another hour or one fewer stop, we will say so before you book rather than after.
