Austin wedding transportation is almost always two jobs rather than one — guest shuttles between hotel, ceremony and reception, and the wedding party on the day. Timing gets built around the run sheet your planner already has, not around a template we would rather sell you.

Wedding transport is almost always two jobs — the wedding party on a tight clock, and guests in loops between hotel and venue. Quoting them separately is frequently cheaper than one long block that pays for the vehicle through the dead hours in the middle.

Nearly every wedding we quote turns out to be two separate transport jobs that get described as one. Understanding that before you ask for a price changes both the plan and the number.

The wedding party

A short, precisely timed block between getting-ready, the ceremony, photographs and the reception. Lots of waiting, a few short moves, and absolutely no tolerance for being late to any of them.

This is the job where the run sheet governs. We build the timings around the schedule your planner already has rather than proposing our own.

The guest shuttle

Moving a hotel block to the venue and back, usually in loops rather than one trip. The constraint here is different: it is the number of round trips and the venue's curfew, not the ceremony clock.

Guests also do not all want to leave at the same time, which is why the return is normally staged rather than single.

Why quoting them separately is often cheaper

A single continuous block pays for the vehicle through the two or three dead hours in the middle while everybody is at dinner. Two bookings that bracket the dead time frequently cost less than one that spans it.

Sometimes one block genuinely is right — small guest counts, a venue with no nearby staging, a tight timeline. We will run both versions and show you the difference.

The venue decides more than you think

Hill Country venues in particular sit on private roads with real access constraints, and many have a hard curfew that fixes your last departure whether you planned it or not.

Confirm access and curfew with the venue, in writing, before transport is booked. Those two answers change the shape of everything else.

Build in a buffer nobody wants to talk about

Wedding parties board late. Not occasionally — reliably, and for good reasons involving dresses, photographs and somebody's grandmother. Fifteen minutes of buffer on the first movement costs nothing and prevents the only genuinely stressful transport failure at a wedding, which is arriving at your own ceremony behind schedule.

The vehicle

Unmarked coaches, which matters here

Our exteriors are plain white with tinted glass and no livery. On most bookings that is a small detail. At a wedding it is not.

Venues with photography restrictions, estates that care what appears in the background of the album, and hotel forecourts all respond differently to an unmarked coach than to a branded party bus. The interiors are still exactly what you would expect for the party afterwards.

We run 20, 25 and 30 passenger coaches — see the fleet for interiors. For guest shuttles the size question is really about loop count: a larger coach means fewer round trips, which matters most when the hotel is a long way from the venue.

One more thing worth naming early: if any of your guests need step-free access, tell us at the quote stage rather than on the day. It changes which vehicle we assign and it is a conversation that goes badly when it happens at the kerb.

Common questions

Questions we get on wedding transportation

How far in advance should we book wedding transportation in Austin?

Two to three months minimum, and earlier for peak wedding season or if you need more than one vehicle. Wedding dates compete with bachelorette weekends, graduations and festival weekends for the same Saturdays, so the constraint is availability rather than price.

Do you work with our wedding planner?

Yes, and we would rather. Planners already hold the run sheet, the venue contacts and the curfew, which is most of what transport planning needs. Give us the planner's details and we will coordinate directly rather than routing everything through the couple.

Can one booking cover both the wedding party and the guests?

Sometimes, and sometimes two bookings cost less. A single continuous block pays for the vehicle through the dead hours in the middle. We will quote it both ways and show you the difference rather than picking for you.

What happens if the ceremony runs late?

Weddings run late; it is normal and we build buffer for it. What we cannot absorb is a venue curfew, which is fixed. If the day is slipping, the earlier the driver knows, the more of the plan survives.

Will the bus have wedding branding or party lighting on the outside?

No. The exteriors are unmarked white coaches with tinted glass. Nothing about the outside reads as a party bus, which is why venues and photographers tend to prefer them.

Can guests leave at different times?

Yes, and most do. A guest shuttle normally runs staged returns rather than one departure — typically an early loop for guests with children and a later one at the end. Tell us the expected split and we will build the loops around it.

Tell us the date and the plan

Give us the date, the headcount you have actually confirmed and roughly what the day looks like, and you will get a written quote with the vehicle named on it. If the plan needs another hour or one fewer stop, we will say so before you book rather than after.
